5 Time-Saving Tech Tools to Set Up When You Start Your Online Business | The Visionary Method
If you are in the early days of your business or if you are thinking about growing your business to the next level, it’s important to have the right systems, structures and online tools in place to support you.
Trust me when I say that investing in these tools early-on will save you 100’s of hours in the long-run.
In this blog, I am going to share my top 5 tech tools that have allowed me to manage my business as well as stay organized.
Let’s get into it…
Have you ever tried to set up a Zoom Call or Phone Meeting with a potential client, and there’s a ton of back-and-forth that happens via email in order to decide on a time– only to have it been canceled.
Finding time in 2 busy schedules is just about as probable as finding a needle in a haystack, and it’s an unnecessarily time-consuming task.
Investing in an appointment software (I love Calendly) has been a game-changer for me.
I love how simple and easy it is to use. I also love how it can integrate with so many of my current systems, like Google Calendar and Typeform.
Benefits of Calendly:
It’s easy for the user to book an appointment
It sends a calendar invite to the other party
As you book things in your calendar it will automatically changes it on Calendly
Bonus Tip: One of my favorite features for Calendly is having the ability to ask questions to the individuals prior to them booking a call with you. This gives you the ability to gather information before getting on the phone which allows you to make the call even more efficient.
No matter how small/big your business is, having an accounting system is super important.
Not only will it allow you to invoice your clients, and track your business expenses, but it also gives you your businesses’ financial situation in an instant.
Benefits of Quickbooks:
Allows you to set up recurring invoices for your clients
Track the incoming and missing payments
Create spreadsheets with your financial situation.
Bonus Tip: Personally, I don’t enjoy tracking my receipts so using Quickbooks allows me to invite my bookkeeper into my system so they can manage daily and weekly expenses
When I built my first ever website, I hired someone for $400 to create a Wordpress site. It was a great starter website, but unfortunately I couldn't update the website content myself because there was so much coding.
Eventually I made the switch over to Squarespace and WOW, I absolutely love it.
Benefits of Squarespace:
Its user-friendly backend
You can purchase your domain from Squarespace directly
It’s a great platform for SEO (if you have a blog)
Bonus Tip: One of my favorite parts of Squarespace is they offer a pre-made template which allows you to DIY your website and add some customization without needing a website developer. The templates are also super affordable. I’ve created my entire website myself using a Dog Site Shop template! It’s definitely worth checking out.
If you are planning to create a self-study program or course you are going to love this platform.
It has loads of space to upload videos and audio profiles, you can customize the colors and the experience for your clients.
As a consumer and a user, it’s quite easy to make changes and modifications and it’s simple to navigate.
Benefits of Teachable:
If you are creating an Online Course, you can organize all of your materials as you create them
You can set up Evergreen / Self-Study Courses
You can oversee the progress of your students and see where they drop off
As your business evolves, staying organized and meeting your self-induced deadlines is crucial, which is why I use a project management software called Asana where I keep all my client projects and ideas for my business.
Don’t get me wrong, I am still a paper and pen gal, but once a week I enter all the tasks and new ideas inside of my project management software in order to assign a deadline and most importantly to not forget about the ideas or tasks.
There is so many options when it comes to project management softwares out there, so based on how your brain works, pick the one that is right for you and your business (Trello, Monday.com, Dubsado, ClickUp etc.)
Benefits of Asana:
All of your projects in one place
You can assign tasks to your clients and to yourself with due dates
You can organize future ideas/content for your business
Bonus Tip: One of the things I love about this platform is that with the touch of one button, the system will amalgamate all your “due soon” tasks from ALL your projects in one place.
So, there you have it - my 5 favorite tech tools to help you gain more time.
Oh, I haven’t shared the best part of these tools, in my early days, I was able to use the FREE versions, I only started paying as my business grew. I am sharing this as I know every dollar counts in the early stages.
I’d love to know which one you will start using! Don’t forget to let me know on Instagram.
